EthosOne vs. CHALK

CHALK's own comparison sets up a choice: a platform your staff operate inside, or a platform that reports to your board. It is a tidy frame and it would matter, if it were a real trade-off.

It is not. EthosOne runs the operational layer today: actions with named owners and audit history, the compliance calendar with recurrence and evidence, camps and excursions, risk assessments, incident forms, training records and the workflows that carry them. Staff work inside it every day, in schools that are live right now.

So set that frame aside and ask the question that actually separates the two products: when a staff member completes a task in either system, what is that task connected to?

In a workflow tool, a compliance task is connected to the person who created it. Someone decided the school needed to do this thing, on this cadence, and built the task. The system remembers the task faithfully. It has no view on whether the task was the right one.

In EthosOne, the obligation is connected to the instrument that creates it. PolicyAI works from a versioned corpus of Australian and New Zealand law across 25 policy domains, and the compliance calendar arrives pre-loaded with the obligations that apply to your state and your sector rather than the ones your predecessor happened to type in. Any staff member can ask a question of the school's own policy corpus and get an answer with the source attached.

That difference is invisible on a feature list and decisive in an assessor's office. A task register tells you what your school remembered to do. A connected record tells you what your school is required to do, which of those things is done, and where the evidence sits.

And the corpus is published. It sits at legislation.ethosone.io, unauthenticated, as versioned data with its own hashes, release note and validation record. A school, a procurement reviewer or a competitor can fetch it and check what we say against what we actually hold, including the defects we have measured and have not yet fixed. We would rather you did that than take our word for it.

EthosOne carries registration and review frameworks for eight Australian states and territories and for New Zealand, aligned to school association content from day one, with self-assessment including ACECQA for schools running an early learning centre.

CHALK's published platform covers policy, risk, strategic goals, compliance automation and audit reporting. Registration readiness is not among the modules it publishes, and no state framework appears on its site.

That is a statement about what CHALK publishes, not a claim about what it can or cannot do. Ask them directly, and ask for the state list.

If your school is inside eighteen months of registration or review, that is not a difference in emphasis. It is the whole job.

What does it cost? Every EthosOne price is published. Core is $15,000 a year with unlimited users. Focus modules covering Risk and Compliance, Regulatory Readiness and Personnel are $5,000 a year each. Premium modules covering Board Engagement, Group Management and PolicyAI are $10,000 a year each. Everything together is capped at $45,000 a year, and each additional campus, site or entity is $5,000. All prices exclude GST. CHALK publishes no price. There is no pricing page on its site. Every path to a number runs through a sales conversation.

Neither approach is wrong, and a school can reasonably prefer a scoped quote. But a business manager writing a budget paper in October can finish ours tonight.

Where does the data live, and who has looked at it? EthosOne is hosted on AWS in Sydney. AI runs through Amazon Bedrock and school data is never used to train a model.

CHALK's published security page describes enterprise-grade cloud hosting, TLS in transit, role-based access and least-privilege practice. It names no certification, no data residency and no single sign-on, and refers readers to a conversation for anything further.

Again, this is not an accusation. It may all be in place and simply unpublished. But a board asking where its child-safety records are held is entitled to read the answer rather than request it, and at the point where your governance committee asks the question, one of these two answers already exists in writing.

CHALK may suit your school if:

Staff workflow automation is the whole problem, and recruitment, onboarding and induction are the pressing part of it. This is the deepest part of CHALK's product and the oldest, and a school whose pain is a paper induction pack will feel the benefit quickly.

Your school is in Australia, has no registration or review event in the near term, and already has its policy content sorted through another supplier or its own drafting.

You are replacing spreadsheets and shared drives, and the immediate win is that the tasks exist somewhere with an owner and a reminder.
