01Bring a policy in, or draft one from purpose
02One register, every lifecycle state
The Policies register finds records by lifecycle, folder, owner and audience, so current and draft work is opened rather than duplicated. Each Overview holds title, identifier, version, owner, approval authority, effective date, review date and status, from Draft to Published, Superseded and Retired, with due soon and overdue shown against the review date.
03Version history that cannot be rewritten
Version History opens, compares and downloads the exact prior version, and an approved version is never edited in place: a change means a new draft, a new review and a new approval. When an assessor asks what the policy said in March, the March version is there.
04Traceable to legislation, and to each other
The Legislation tab links a policy to the obligations it answers, with the source a click away, so a coverage claim is attributable rather than asserted. Linked Policies models dependency and overlap so an owner sees what may cascade when one document changes.
05Approval that signs the exact version
Submit a draft and the configured reviewers and approvers each receive their own workflow task. While approval is incomplete the version stays in draft or in review and never replaces the current published version.

Group policies, adopted locally
A group policy is published as a minimum standard and each entity reviews it, then adopts it or overlays it with local content under its own approval. The adoption record and the local overlay are both controlled versions, and the helper compares where an overlay differs.

Procedures
Where a policy says what the school intends, a procedure says how it is done: trigger, ordered steps, responsible roles, inputs, outputs, records and exception paths, as a controlled version with its own owner, approver and review date. When a linked policy is superseded, the procedure owner receives a review-required signal and nothing changes on its own.

Training LMS
Training turns a required behaviour into assigned learning with evidence. Learners see assigned, outstanding, current and expired learning in My learning; courses deliver versioned SCORM content with an assessment; and completion records the exact course version and its valid-until date.
09Personnel
People are invited, added from an existing account or imported by CSV into a specific entity or group with explicit roles; built-in roles expose a View, Create, Edit and Delete matrix per module, and a custom role builder gives a volunteer or a reviewer only what they need. Deactivation offers responsibility transfer first.
Proposed changes, seen before they are approved
A reviewer opens Proposed changes and sees the exact difference and the rationale, with comments resolved on the diff before anything moves to approval. The embedded helper summarises the change and the obligations it touches, with citations.
Acknowledgements you can report on
Publish a policy to its audience and Acknowledgements shows who is required to read it, who has, and who needs a reminder, reported as a ledger. The helper drafts a staff summary or a short knowledge check, and a person does the acknowledging.

HR Compliance is the controlled expression of organisational intent in the accountability spine. A risk in the register is treated by a control; the control is written as a policy, made operational by a procedure, taught through training and acknowledged by named people; the obligation it answers sits on the compliance calendar and traces to the obligation register in PolicyAI; and the approved policy is what the Trust Centre publishes and the board pack reports.
AI Chat gives a guided route into policy questions: ask, inspect the sources, apply to a draft.
Draft with AI proposes sections and copy from your organisation's context, summarises what a change does to linked obligations, suggests candidate legislation links and spots duplication between policies. It knows your context and drafts what you need, while you are still in ratio. Publishing, the approval decision and acknowledgement stay with people. The helper never publishes, never decides approval and never acknowledges on someone's behalf; every proposal carries its sources, and nothing is saved until a person applies it.

02Does it manage policy reviews and approvals?
Yes. Every policy carries an owner and a review date. A change is drafted as a new version, reviewed as a diff and approved by your approvers before it becomes current, and the earlier version stays in Version History, openable and downloadable. Nothing is current until a named person has signed it.
03Can we upload the policies we already have?
Yes. Upload a PDF or Word file and the extracted body and metadata are shown for correction before the draft is created. It becomes current only after your approvers sign it.
04What happens when a policy needs to change after it is approved?
You create a new version. The change is reviewed as a diff, goes through the same approval, and the earlier version stays in Version History, openable and downloadable.
05How do we know staff have read a policy?
Publish it to an audience and the Acknowledgements ledger shows the required readers, who has acknowledged and who has been reminded.
